This explains what details Stock Express keeps about you, why, who else handles them for us, and what you can ask us to do with them. If anything here isn’t clear, email dylan@stockexpress.co.uk.
Who we are
Stock Express is stocktaking software for the licensed trade, run by Dylan Riden. We decide how your details are used, and you can reach us about anything on this page at dylan@stockexpress.co.uk.
When you visit this website
We measure how the website is used, so we can make it better:
- Google Analytics records which pages are visited, how people arrive, roughly where they are, what device and browser they use, and what they do here: for example which videos are watched, what is searched for in the guide, and whether the Book a demo form is sent. It sets cookies (
_gaand_ga_CFP2KMCHXP) that last up to two years, and Google processes this data for us. We keep it for up to 14 months. - Vercel Web Analytics counts visits to each page. It uses no cookies and does not identify you.
- Our host, Vercel, keeps short-lived technical logs, such as your IP address, to run the website and keep it secure.
We do this because we have a legitimate interest in understanding how the website is used. To stop Google Analytics, you can block or delete its cookies in your browser’s settings, or install Google’s opt-out add-on.
When you book a demo
The Book a demo form asks for your name and email, and if you give them, your company, phone number, how many stocktakers you have, what you use now, how and when you’d like the demo, and a message. It is sent to us by email, through our email provider, Resend.
We use it only to arrange the demo and talk to you about Stock Express, because you asked us to. We keep it while we are in touch, and delete it two years after we last hear from you, unless you become a customer.
If we email you about Stock Express
We may email stocktaking businesses to introduce Stock Express, using business contact details that are published, such as in trade directories. Every email says where we found your details.
We do this because we have a legitimate interest in telling businesses in the trade about Stock Express. If you’d rather not hear from us, reply and say so, and we won’t contact you again. We keep a note of your email address only to make sure of that.
If you use Stock Express
To provide the app, we keep:
- Your account: your name and email, your practice’s name, telephone and email, and who in your practice can sign in.
- Your stocktaking: your outlets and everything you put in for them, such as counts, prices, deliveries, takings and reports, with a record of every change and who made it.
- Invoices you upload, if you use the invoice reader, kept with the delivery they became.
We need these to provide the service you signed up for. Your stocktaking data is yours: we use it only to run Stock Express for you, never to market to your outlets, and we never sell it. You can take it with you at any time, including as a PS Stock Auditor backup.
We keep it for as long as you use Stock Express. When you leave, we’ll give you a copy if you’d like one, then delete it.
Who else handles your details
These companies process details for us, only as we instruct:
- Vercel: hosts this website and the app, and stores uploaded invoices.
- Neon: the database the app keeps your data in.
- WorkOS: signing in, and inviting people to your practice.
- OpenRouter: passes uploaded invoices to an AI model to be read, when you use the invoice reader.
- Resend: sends the Book a demo form to us.
- Google: Google Analytics, on this website only.
Some of these companies may process details outside the UK. Where they do, it is under safeguards UK law accepts, such as the UK’s approved contract terms for international transfers.
Your rights
You can ask us to:
- tell you what details we hold about you, and send you a copy
- correct anything that is wrong
- delete your details
- stop using your details, or limit how we use them
- stop emailing you, at any time, for any reason
- give you your data in a form you can take elsewhere
Email dylan@stockexpress.co.uk and we’ll reply within a month. If you’re unhappy with how we’ve handled your details, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Changes
If we change how we handle your details, we’ll update this page and the date at the top.
